End of Year Trade Show Terms & Conditions

Stand Information
Each exhibitor area measures 3m wide x 2m deep x 2.3m high and includes the following:
- 1 x trestle table (1.8m)
- 1 x tablecloth
- 1 x chair
- 2 x 150-watt spotlights
- Power outlet
Velcro receptive partitions are 2.3m high. Articles may be attached by Velcro hooks, staples, or picture hooks.
Cost Per Stand: T$499+GST.

Black Cardholders receive a complimentary stand.
Platinum Cardholders and Out of Town members receive a 50% discount.

Exhibition Set-Up
Thursday, 13 November 2025, 8.30 AM – 12 PM.
Opening Hours
Thursday, 13 November 2025, 1 PM – 7 PM.
Dismantling
All stands must be packed down and out by 8 PM. Exhibitors must remove any rubbish and boxes and leave the area clear of debris.
Deliveries
Exhibitors may have goods delivered on the day only. These must be clearly marked with your company name and stand number. There are no facilities for storage prior to this date. All goods must be removed the same day by 8 PM.
Car Parking
There is complimentary parking at the venue. Once unloaded, please park in the public car park areas.
Please note: Cars parked in or around the loading bay will be towed.
Catering
Food and refreshments will be available for purchase throughout the show.
Regulations
1. All products and services available at the show must be full trade.
2. Exhibitors are responsible for the delivery, set-up, and removal of all their displays and materials. All rubbish is to be removed while setting up and packing up – rubbish bins provided.
3. Stands must be occupied by 12 PM; if you are going to arrive after this time, you must advise us prior to the show. Bartercard reserves the right to on-sell any unoccupied stand at 12 PM on the day of the Trade Show.
4. Stands must not be dismantled before 7 PM.
5. Exhibitors must keep their displays within the confines of their own stand, with no encroaching of displays, signs, or marketing into or above the aisles – unless by prior arrangement.
6. Exhibitors are responsible for removing all fastenings attached to panels. Panels that are damaged and cannot be used again will be charged $50+GST per panel.
7. Exhibitors must comply with all health and safety regulations as set out by the Auckland Showgrounds, which will be included in your exhibitor pack. The exhibitor pack will be sent approximately one week prior to the show.
8. Exhibitors must wear a Hi-Vis vest during the set-up and dismantling of stands.
9. Children under 15 are not allowed in the pavilion during the set-up and dismantling of stands.
10. Exhibitors must wear closed-toe shoes during the set-up and dismantling of stands; they may not wear bare feet, sandals, or jandals.
11. Exhibitors must supply sufficient staff to assist with setting up and dismantling stands. Stands must be attended to at all times.
12. Bartercard accepts no liability for loss or damage to any property.
13. Please ensure you remove ALL your own rubbish at the end of the show. A fine will be imposed if anyone is caught littering.
Cancellation Policy
Within 14 days (in writing) of the show commencing, you are liable for 50% payment; ‘No Shows’ are liable for 100% payment. This includes complimentary stands.
